The Challange : TIA didn't have a volume problem. It had a timing problem.

The agency fields about 1,500 inbound calls a week, most of them auto quotes and policy service. When a call came in after hours, over the weekend or while the team was at lunch, it went to voicemail. Insurance shoppers rarely leave a message. They hang up and call the next agency on their list.

The calls that did get answered came with a cost of their own. Reps jotted down notes and typed them into the agency management system later. Follow-up lagged, small errors crept in, and the people who should have been selling and servicing spent much of their day on intake.

And this is Houston. TIA serves Spanish-speaking clients every day, so whatever the agency put on its phones had to work just as well in Spanish as it did in English.

What We Built : An AI frontdesk wired into the agency's system of record

We put Densy AI in front of TIA’s phone lines and text channel as the first voice a caller hears, and connected it directly to Agency Management System. Here’s what happens when someone calls:

The same agents work in the other direction too. Outbound voice and text campaigns remind existing clients when a premium is coming due, and they run only inside set calling hours.

Step What Densy AI did
Recognition Identified the caller from caller ID
Quote intake Personal or commercial vehicle, start date, year, make and model, number of drivers
Risk details Current carrier and coverage, recent tickets, and any accidents or claims in the last three years
Preference Asked whether the caller wanted to finish by phone or at one of TIA's offices
Cross-sell Mentioned TIA's home and business policies and the multi-policy discount, without being prompted
Handoff Warm transfer to a licensed agent, with every detail already captured
Notice where the line falls. Densy AI gathers the information and keeps the caller moving. The licensed agent gives the advice and binds the policy. That’s the split agency owners want, and it’s how every quote call works.

The Results : What changed, and why

Auto quote intake no longer needs a rep

Densy AI takes every auto quote call from hello to a complete record in Agency Management System, then hands the caller to a licensed agent to quote and bind.

Answering on time lifted conversion 30%

TIA didn’t change its pricing, its carriers or its sales process. It simply stopped letting inquiries sitin a queue or rollto voicemail.

The team got its time back

Within three months of going live, tele-caller availability was up 45%. Reps who used to spend their day on intake and data entry now spend it with clients.

It holds up underreal volume

Roughly 1,500 inbound calls a week, about 2,700 counting outbound, and around 12,600 text messages a month, with 100% uptime since launch.

Product Views : What the agency team sees

Agency operations dashboard : Today’s calls, callbacks booked for licensed staff, call completion and payments due, next to a live activity feed: an endorsement, a missed call texted back and booked with a producer, a new claim routed to the claims contact, a Spanish-language ID card request and an outbound renewal review

Premium reminder campaign : Today’s outreach queue across calls and texts, running only inside the 9:00 a.m.to 8:00 p.m. local calling window, with each client’s payment status, last contact and policy due date.

What's Next : From one location to the whole agency

TIA started with a single location so it could see results before committing further. It has now seen them. The agency has approved the rollout across its remaining locations and is working with us on the next set of use cases. Nobody had to sell them on the expansion. They asked for it.

Why It Worked : Four decisions that made the difference

Best fit for :

The 30-Second Version

A Huston based insurance agency was losing callers to voicemail after hours and retyping every inquiry by hand. We put Densy AI on its phones, connected to Agency Management System, in English and Spanish. Now every auto quote call is taken in full and handed to a licensed agent who’s ready to quote. Conversion is up 30%, the phone team has 45% more time, and the agency has signed off on rolling it out to every other location.
